There’s a certain flavor of AI hype right now that claims packaged software is finished. That every business should build custom everything. That SaaS is a relic of a less enlightened time.
That’s arrogant and naive.
Packaged software wins when the problem is universal and the solution is mature. You don’t need a custom-built email system. Microsoft 365 handles that. You don’t need a bespoke accounting platform. QuickBooks and Xero have spent decades getting that right. Practice management platforms like Dentrix, Eaglesoft, and Open Dental exist because building that kind of software from scratch would cost millions, take years, and bury a small team in regulatory requirements.
The carpenter doesn’t build his own hammer. He buys a good one and uses it to build things no hammer manufacturer ever imagined.
Here’s a quick test. Does the software solve a problem that ten thousand other businesses have in exactly the same way? Buy the package. It’s been tested by millions of users, patched thousands of times, and refined over years. You are not going to build something better for your specific office.
Does the software need to solve a problem that’s specific to how YOUR business operates, your workflow, your approval chain, your reporting needs, your intake process? That’s where custom makes sense.
The mistake people make is treating this like an all-or-nothing decision. It’s not. The best-run small businesses we work with use both. They run their email on Microsoft 365, their accounting on QuickBooks, their practice management software on whatever platform fits their practice, and they have us build the custom tools that connect the gaps between those systems.
